Managing Brand Assets (Phase 5)
Overview
Phase 5 is protecting and sustaining the brand after the identity is designed: rolling out change, launching, turning employees into champions, and governing consistency through guidelines and online brand centers. It requires enlightened leadership and a long-term commitment. The mandate to build the brand must come from the top — but the brand must ignite your employees first.
When to use
Introducing a new name/identity to an existing organization or to merged entities (harder than branding a new company).
Planning a launch, an internal-then-external rollout, or an employee engagement program.
Standing up an online brand center, DAM, or writing guidelines / a brand book.
Hand off to earlier-phase skills for research, strategy, or designing the identity itself — Phase 5 assumes those are done.
Changing brand assets
Implementation requires vigilant strategic focus, advance planning, and obsession with detail. Typically the director of marketing/PR oversees the change; larger orgs may retain a dedicated implementer. Skills needed: branding, PR, communications, identity design, production, organizational management.
Key pre-launch questions: Who needs to know? What do they need to know? Why? Does the change affect them? How and when will they find out?
Name-change essentials: a sound reason is the first and most critical step; the change must have potential to enhance public perception, recognition, recruitment, customer relations, and partnerships; accept that there will be resistance; keep momentum with an air of excitement; targeted messages are better but cost more.
Key beliefs: a strategic focus centers on the brand; go internal before you go external; once is never enough — tell them, tell them again, then tell them again; you need to sell a new name and build meaning; a mega-launch means less chance for confusion; an identity program is more than a new name or logo.
Launching
A launch is a huge marketing opportunity to build awareness and synergy. Different circumstances demand different strategies — from multimedia campaigns to a T-shirt per employee. In nearly every launch, the most important audience is a company's employees. Regardless of scope/budget, a launch requires a comprehensive communications plan. Rarely is the best strategy the "un-launch" (business as usual).
Comprehensive plan elements: goals/objectives; supporting communications activities; timeline + budget; target audiences; key messages; communications strategies (internal, social, PR, advertising, direct marketing); internal training strategy; standards and guidelines strategy.
Internal launch basics: make a moment, create buzz; say why it's important and what the brand stands for; convey it's top-down; make employees champions; show concrete examples of living the brand; give ownership and something tangible (a T-shirt).
External launch basics: timing is everything — find the window; consistent, targeted messages; the right media mix; brief the sales force; be customer-focused; schedule advance time; seize marketing synergy.
Building brand champions
Employee engagement is one of the best investments a company can make. Before launching externally, key stakeholders must understand why the change is necessary and how it supports core purpose and vision. Advice from the American Alliance of Museums: identify change agents, empower staff to think creatively, communicate — communicate — communicate more. Tactics from cases: talking points so staff stay on message, a culture book (Zappos), eLearning that builds ownership (Deloitte), an executive road show with an "Ambassador's Kit" (Aramark).
Online brand centers
The online brand center is the centerpiece and front door for all stakeholders, giving 24/7 access to the latest guidelines, tools, and templates. Modern centers are database-driven (not PDF), with video/motion/interactive delivery, DAM for asset volume, and dynamic templates so non-designers can edit without design support. Leading brands make portions public (Salesforce, Starbucks, IBM, Lenovo, Audi).
Characteristics: educational, user-friendly, efficient; accessible to internal + external users; scalable and modular; consolidates management in one place; positive ROI; database-driven; easy to add content; built-in transactional elements; flexible hosting/maintenance.
Monigle process (in order): Initiate plan → Build groundwork → Launch project → Prepare content → Design + program → Develop database → Prototype + test → Launch → Monitor success.
Content guidelines: write concisely (less is more); outline for logical order; know the culture; use common terminology, avoid "brand speak"; provide examples/illustrations; support navigation.
Guidelines
Guidelines define the rules of the road so strategy, visual identity, and verbal identity are applied consistently inside and outside the org — but intelligent guidelines only get you halfway; you must also drive engagement. Traditional static, outdated guidelines have little value. Best guidelines are: clear and visual (more visuals, less text); start simple and evolve; current/accurate/easy to apply; include brand history and "what the brand stands for"; weave in the "why" (people use guidelines that explain both the what and the why); balance consistency with flexibility; accessible internally and externally; tailored to skill levels; sit on an online brand center; have a point person; serve as a coaching manual; continually updated with best-in-class examples; responsive to feedback. Online resources should provide tools, not rules.
Guidelines content — what to cover
The size and nature of the organization sets depth and breadth. Legal and nomenclature considerations are essential to protect equity and IP. Content checklist (composite):

Brand books
Brand books (also spirit books or thought books) inspire, educate, and build awareness. Strategy can't influence anyone if it stays in a conference room or on page three of a marketing plan. Online or off, they explain and express the brand in a format that is accessible, portable, and personal. Newly launched and changing brands especially need to convey "where the ship is going"; combined with guidelines, a brand book helps employees understand and buy into their role in building the brand.
