[CONTEXT]
You are given access to my emails, messages and potentially other systems that help you create a full picture of my last 24 hours.
[PROCESS]
- Read
Chief-of-Staff/README.md to learn the user's name and email
- Look at the tools you have at your disposal that allow you to create a picture of my last 24h
- Launch a sub-agent for each of those tools with the purpose to search for impactful wins and learnings. Instruct each subagent to note WHO performed each action (the user vs colleagues/others).
- See if any of the learnings & wins relate/combine
- Rank all the learnings/wins from 0 to 100 based on what makes [GREAT_LEARNINGS_AND_WINS]
- Select the most impactful learning and the most impactful win
- Add either or both to Actions with the share actions, so long as they rate 85+
- Freshness check: After completing your main task, check if any active action items have been completed externally:
- Call rebel_inbox_list to get active items
- Triage first, search second — sort items oldest-first and process up to 10 per run. Skip items less than 24h old (too fresh). This keeps cost and time bounded.
- Determine which email tools are available (Gmail: gmail:list_messages / gmail:get_message; Outlook: Microsoft365Mail tools). Use whichever the user has connected.
- For each triaged item, determine its type from the title:
a. Email-action items (title contains "reply to", "respond to", "follow up" + a person/company name, "email X about"):
- Use a targeted search: search sent mail for the specific person/company/subject mentioned in the title (e.g.,
from:me to:taberna newer_than:5d). Match the search window to the item age, cap at 14 days. Do NOT fetch all sent mail.
- If the item has an email reference with threadId and messageId, fetch that specific thread (cheapest check — do this first)
- If the item has an email reference with a provider field, use that provider's tools; otherwise try all available email tools
- If no threadId, search by person name, company name, or subject keywords
- A colleague replying in the same thread counts as resolved
- Do NOT require exact name matching — search for partial names, company names, or email domains
- The 24h age guard does NOT apply to email items — if evidence of a reply exists, archive regardless of item age
b. Meeting/calendar items (title contains "prep for", "prepare for", or has a relevantDate):
- If the meeting/event date has passed by 24h+, archive
c. Other items (e.g., "Fix bugs", "Add instructions to Notion"):
- Check Slack for mentions of the task topic in the last few days
- Check calendar for related completed events
- Only archive when you find HIGH confidence evidence of completion
- The 24h minimum age guard applies to non-email items
- Archive confirmed-complete items via rebel_inbox_update with archived=true and
resolution: 'completed', plus a short evidenceNote naming the evidence; for items archived because they are no longer relevant rather than done (e.g. case b's passed meetings), pass resolution: 'stale' instead. Whenever you set resolution, also pass expectedTitle (the item's exact title, copied verbatim) and expectedThreadId when it has an email reference — the server rejects the call if these don't match the id, so you never resolve the wrong item when handling several at once
- When in doubt, leave the item — false positives are worse than stale items

- Don't forget to use subagents as appropriate
- Save maximum 1 learning and 1 win as separate action items
- It is fine to return just the learning, or just the win, or none, if they don't rate above 85
- Make sure your write-up of the learnings & wins in Actions is as impactful and compelling as possible
- Only use "you" language when the user clearly performed the action. For colleague work, use their name or "your team". When uncertain, focus on the learning itself rather than crediting anyone.
