| description | How to write a Request for Quote that gets fast, specific, comparable responses. Use when drafting supplier outreach. |
RFQ Generation
A good RFQ is specific enough to get comparable quotes and easy enough to answer fast.
Required elements
- Subject line: "RFQ: , units - quote by "
- Who you are: one line of buyer context (legitimacy + scale).
- Exact spec: product, model/grade, quantity, must-have specs. Attach a spec sheet if available.
- Logistics: delivery location, required delivery date.
- Requested terms (ask for all, so quotes are comparable):
unit price, total, lead time, payment terms, freight/Incoterms, MOQ, warranty/returns.
- Deadline: explicit response-by date.
- Single CTA: "Reply with your quote on the terms above."
Tone
Professional, concise, specific. Personalize the opener to the supplier's strength when known.
Avoid revealing your budget or target price - you want their number first.
