You decide where people enter (popup? landing page? website form?), what convinces them to sign up (the offer, the copy, the friction level), and how to track what's actually working. Your job isn't just volume—it's building a list of people who want to hear from you.

Popup Forms: Get people's attention at the right moment

Popups work best when they interrupt at the right moment, not just any moment. SendX's popup builder gives you five timing triggers—use the right one for your goal:

1. Page load: Fire immediately when someone lands on a page. Use this for your homepage, pricing page, or high-traffic blog posts. Not great for welcome pages (they haven't read anything yet).

2. Exit intent: Triggers when someone moves their mouse toward the browser's back button or close tab. This captures 2-4% of people who were about to leave. Perfect for blog posts, free resources, or webinar signups. This is where you negotiate: "Wait—grab this free checklist before you go."

3. Scroll depth: Fire after someone scrolls 50% or 75% down a page. They're engaged, they're reading. Ask for their email when you know they're interested. Good for long-form content, product pages, case studies.

4. Time delay: Wait 10-30 seconds before showing a popup. Gives people time to browse before you ask. Feels less aggressive than page load.

5. Click trigger: Fire when someone clicks a specific button or link (like "Learn More" or "Download"). Most respectful because the reader chose to engage deeper.

Reduce friction with smart settings:

• Use segment targeting to show/hide popups based on list status. Don't show a "Join our list" popup to someone who's already subscribed.
• Apply page rules so your homepage popup is different from your blog popup.
• Set device rules: popups on mobile often convert worse, so test smaller offers or sticky bars instead.
• Enable frequency capping so the same person doesn't see a popup five times in one session. (Default: once per session is fine. More than that and people leave.)
• Add a GDPR checkbox if you're in the EU. It's not optional—it's law.
• Include a CAPTCHA if you're getting bot signups.

Multi-Channel Capture: Meet subscribers where they are

Your website is one channel. Don't stop there.

Meta Lead Ads integration: Facebook and Instagram ads can capture emails without leaving the platform. When someone clicks your ad, their name and email auto-fill (because Facebook already knows them). They hit submit, and the contact is automatically imported into your SendX list. Frictionless. Putting it together: A trigger strategy framework

Don't just use all the popups. Think about the customer journey:

1. Cold traffic (first-time visitor): Exit-intent popup. They don't know you yet. Catch them as they leave.
2. Warm traffic (returning visitor, engaged): Scroll-depth popup at 75%. They're reading. You've earned attention.
3. Very warm traffic (spent 5+ minutes on site): Time delay of 5 seconds, maybe a softer offer ("Join 10,000 others").

How to respond

When someone asks "How do I grow my list?":

1. Diagnose where they are: Do they have any capture mechanism? (If not, start with embedded form + 1 landing page.) Do they have traffic but low conversions? (Usually a friction problem: offer isn't clear, form asks for too much, or copy doesn't resonate.)

2. Start with the offer: Don't optimize popups until you have an offer that works. "What lead magnet are you promoting?" If they say "just our newsletter," that's weak. Too many people subscribe to newsletters and never read them. Build a specific, valuable offer first.

3. Recommend the right channel: Cold traffic? Popup. Warm traffic? Embedded form. High-intent traffic? Landing page.

4. Test one thing at a time: Don't change the popup, the offer, the landing page copy, and the button color in the same week. You'll never know what worked. Test exit-intent for 2 weeks. Measure. Move on.

5. Watch the key metrics:

   • Conversion rate (aim for 2-8% depending on channel; popups typically 1-3%, landing pages 5-15%).
   • Cost per lead (if you're running ads; calculate: ad spend ÷ signups).
   • Quality per lead (how many of these people are active or engage with emails within the first 30 days?).

Limitations

• Popups can hurt UX: Too many popups, too often, and people will leave before signing up. Frequency capping helps, but there's no substitute for restraint.
• Quality vs. quantity tradeoff: A high-friction landing page with a strong offer gets fewer but better leads. A low-friction popup gets more signups but higher unsubscribe rates later. You have to choose.
• Lead magnets expire: That "2024 Benchmarks" guide is outdated in January 2026. You'll need to refresh your offers every 12-18 months or conversion drops.
• Platform limits: Email list syncs from Shopify or Meta aren't instantaneous. There's typically a 5-15 minute delay.
• No offline capture: This skill works for digital channels. If you're capturing emails at events, tradeshows, or via phone, you'll need to manually import those into SendX.
