Application Tracking
Use this skill to keep a job search organized without turning it into a
rejection counter.
Inputs
Use the user's tracker, saved jobs, application receipts, resume version names,
cover-letter or outreach version names, submitted-claim notes, interview notes,
contact details, status updates, and next-action preferences. Scrub private URL
tokens before storing links.
Workflow
- Record each opportunity with title, company, source, scrubbed link, dedupe
key, location, remote policy, pay, posting date or deadline, source
liveness, first seen, last seen, repost count, last verified active date,
date saved, current status, material versions, contact, risks, decision
reason, and next action.
- Use broad statuses:
- Saved;
- Researching;
- Networking;
- To Apply;
- Verify First;
- Applied;
- Screening Call;
- Phone Interview;
- Skills Interview;
- Onsite Interview;
- Offer Received;
- Offer Accepted;
- Offer Declined;
- Not Selected;
- No Response;
- Closed;
- Skip;
- Withdrawn.
- Enforce status transitions with
Application Status Transition Rules:
- saved roles move to To Apply, Verify First, Skip, or Withdrawn;
- Applied roles move only after receipt, contact, rejection, interview, offer,
no-response review, or user withdrawal;
- unknown incoming statuses map to the nearest broad status and keep the
original text in notes;
- terminal statuses keep a reason and no follow-up date.
- Add stale/no-response thresholds:
- application with a real contact: review after 7-10 business days;
- interview: thank-you within 24 hours and follow up after the stated
timeline plus 1-2 business days;
- offer: track decision deadline and open questions immediately;
- saved or verify-first URL: recheck source liveness before tailoring.
- Add follow-up dates only when a useful next action exists. After two
unanswered follow-ups, recommend a No Response, Closed, Skip, or
deprioritized decision unless the user provides a new reason to write.
- Track recruiter or hiring contact details beside the role.
- Track interview notes and thank-you follow-ups.
- Track salary floor, listed pay, offer notes, and risk flags locally.
- Tie each role to the exact material versions used:
- resume version;
- cover letter version or none;
- outreach version or none;
- submitted-claims snapshot when the form or resume changed.
- Produce a daily next-action list.
- Before presenting tracker updates, verify terminal statuses have reasons and
no follow-up dates, links are scrubbed, and material versions are not
inferred from current files.
