Webinar / Remote Session Planning
The Remote Challenge
Remote audiences have:
- Lower attention span — distractions everywhere (email, Slack, kids, phone)
- No social pressure — easy to leave silently or zone out
- Reduced feedback — speaker can't see faces, read the room
- Technical barriers — audio issues, bandwidth, platform unfamiliarity
Your enemy is the mute button + second monitor. Design to compete with email.
Planning Process
- Define format — webinar (one-way) vs. meeting (interactive)?
- Set duration — 30-45 min max (60 min only if highly interactive)
- Design for engagement — interaction every 5-7 minutes
- Plan the tech — platform, backup, recording
- Create the run-of-show — minute-by-minute plan with co-host roles
Session Structure
Pre-Session (5-10 min before)
- Open room early with a welcome slide + music or intro video
- Display logistics: agenda, how to ask questions, will it be recorded?
- Moderator greets early joiners in chat ("Welcome! Where are you joining from?")
Opening (3-5 min)
- Start ON TIME (respect remote schedules — they blocked a calendar slot)
- Brief intro (30 sec max — remote audiences are impatient)
- Set expectations: duration, interaction style, recording notice
- First engagement within 2 minutes: poll, chat question, or hand raise
- "Type in chat: what's your #1 challenge with X?"
Body (70-80% of time)
- Chunked into 7-10 min segments — each with:
- A key point or concept
- A visual (demo, diagram, example)
- An interaction (poll, chat prompt, or question)
- Vary the medium every few minutes:
- Slides → demo → back to slides → video clip → whiteboard
- Chat-driven content — reference chat responses, read names
- Energy variation — speed up/slow down, change vocal register
Q&A (10-15 min)
- Use a Q&A tool (Slido, Zoom Q&A) so questions queue up
- Upvoting helps prioritize
- Read the question before answering (gives remote context)
- "Great question from [name]..." — makes it personal
- Have 2-3 pre-prepared questions as backup (plant if needed)
Closing (2-3 min)
- 3-bullet recap (repeat key takeaways)
- Clear next steps / CTA
- Resources link (drop in chat)
- "Thank you" + recording availability timeline
- Feedback survey link in chat
Best Practices
Engagement Tactics (use 3+ per session)
- Polls — quick 2-4 option polls at natural breakpoints
- Chat storms — "everyone type your answer in 3, 2, 1... GO"
- Breakout rooms — 5-min pair discussions (works for < 50 people)
- Live demos — real-time building keeps attention
- Audience names — call out chat contributors by name
- Surprise reveals — "I'm about to show you something most people don't know..."
- Cold calls (carefully) — "Sarah, I see you work at X — does this resonate?"
Technical Delivery
- Camera ON — your face creates connection (much higher engagement than slides-only)
- Eye contact with camera — look at the lens, not the screen
- Good lighting — face lit from front, not backlit
- Clean background — virtual or physical, no distractions
- Wired internet — don't risk wifi drops
- Close all notifications — Slack, email, system alerts
- Share specific window, not full screen (prevents notification leaks)
- Increase font sizes — 24pt minimum for screen-shared code/terminal
Voice & Energy
- Speak 15% louder and 20% more energetically than you would in person
- Vary your pace — slow down for key points, speed up for transitions
- Use silence intentionally (2 seconds feels dramatic on Zoom)
- Stand up while presenting if possible — changes vocal energy
- Smile — it's audible in your voice
Attendee Experience
- Send reminder email 1 day before + 1 hour before
- Include clear join instructions (not everyone knows Zoom/Chime)
- Offer dial-in as backup for poor internet
- Record and share — assume 30-50% will watch the recording instead
- Share slides as PDF after (or before, for followers)
Common Mistakes
- ❌ No interaction for the first 15+ minutes (you've lost them)
- ❌ Slides with too much text (unreadable at screen-share resolution)
- ❌ Ignoring the chat (messages pile up, attendees feel invisible)
- ❌ Camera off (just a voice over slides = podcast, not a session)
- ❌ Going over time (remote attendees have hard stops — back-to-back meetings)
- ❌ "Can everyone hear me?" as the opening (boring, kills energy)
- ❌ Not recording (50% of registrants watch later)
- ❌ Sharing full desktop (notifications, private tabs visible)
- ❌ No co-host/moderator (speaker can't monitor chat AND present)
