Citation Management
When to Use
Use this skill when a learner needs to:
- Set up a citation organization system -- they have collected or are collecting sources and need a workflow to track, format, and retrieve them without losing information or creating inconsistencies
- Learn a citation format from scratch -- they need to understand the logic and structure of APA 7th edition, MLA 9th edition, Chicago 17th edition Notes-Bibliography, Chicago 17th edition Author-Date, or Turabian 9th edition
- Switch citation styles mid-project -- they have been using one style (or no style) and need to convert their existing reference list to a different format required by a new instructor or journal
- Audit and fix an existing reference list -- they have a draft bibliography with inconsistencies, missing fields, or formatting errors and need a systematic correction process
- Choose and configure a citation management tool -- they want to decide between Zotero, Mendeley, EndNote, Paperpile, or a manual spreadsheet system based on their discipline, access level, and workflow
- Understand the logic behind citation components -- they keep making errors because they do not understand why citations are structured the way they are, not just what the format looks like
- Manage a large volume of sources -- they are writing a thesis, dissertation, or literature review and need a scalable system rather than ad-hoc formatting

- The learner needs APA formatting for the full paper (running heads, abstract formatting, level headings, tables) -- that is manuscript formatting, not citation management
Process
Step 1: Gather Project-Specific Context
Before producing any output, collect four categories of information. Do not proceed without at minimum items 1 and 2.
- Citation style required: APA 7th, MLA 9th, Chicago 17th Notes-Bibliography, Chicago 17th Author-Date, Turabian 9th, or IEEE. If the learner does not know, ask them for their discipline and instructor/journal requirements -- do NOT default to APA without asking.
- Project scope: Single paper (how many pages, how many sources estimated?), thesis/dissertation, ongoing research program, or professional report. Scope determines whether a spreadsheet or dedicated software is appropriate.
- Source types involved: Peer-reviewed journal articles, books, book chapters, websites, government reports, datasets, interviews, films, social media posts, legal documents. Each type has different required fields and common error patterns.
- Current state: Do they have zero sources yet, a partial list, or a complete but messy bibliography? Are citations currently in a document, a spreadsheet, a reference manager, or only in their head?
- Tool access: Do they have institutional access to EndNote or RefWorks? Do they know Zotero exists? Are they on a shared computer where installing software is difficult?
- Pain point: What specifically is going wrong or feels unmanageable? This focuses the plan on their actual need.
Step 2: Recommend a Citation Management Tool or System
Match the tool to the learner's situation using these decision criteria:
- Zotero (free, open-source): Best default recommendation for most students. Works as a browser extension plus desktop app. Handles PDF annotation, automatic metadata capture from DOIs and URLs, group libraries for collaborative projects, and outputs to 10,000+ citation styles. Ideal for: most undergraduates and graduate students, users without budget, anyone using Firefox/Chrome.
- Mendeley (free with Elsevier account): Similar to Zotero. Better PDF annotation interface; institutional networks sometimes have premium access. Weaker at capturing metadata from non-Elsevier sources. Suitable for: STEM students already embedded in Elsevier ecosystem.
- EndNote (paid, ~$250; free via many institutions): Industry standard in biomedical and clinical fields. More powerful for very large libraries (1,000+ sources). Steeper learning curve. Recommend only if the institution provides it or if the user is in a professional research context.
- Paperpile (subscription, ~$3/month for students): Best integration with Google Docs and Google Scholar. Ideal for: users who write entirely in Google Docs and want seamless in-text insertion.
- Manual spreadsheet (Excel/Google Sheets): Appropriate for: fewer than 20 sources, no access to software, simple one-time papers. Must be paired with a format checklist. Provide the Source Tracking Sheet template from the Output Format section.
- Notion/Obsidian citation databases: Suitable for researchers who already use these tools for personal knowledge management and want citations embedded in a note-taking system. More setup time; no automatic formatting.
If the learner is managing fewer than 15 sources for a single paper with no software available, recommend the spreadsheet + checklist approach. If they have 15 or more sources or are writing a thesis, strongly recommend Zotero.
Step 3: Explain the Citation Style Logic
Do not just give format examples. Explain the underlying logic of the style so the learner can handle any source type -- including unusual ones not covered by their style guide.
APA 7th Edition logic: Organized around the author-date principle. The in-text citation tells the reader who said it and when; the reference list tells them where to find it. Every element exists to answer one of four questions: Who? (author), When? (date), What? (title), Where? (source). APA prioritizes DOIs over URLs, uses sentence case for titles (capitalize only first word, first word after colon, and proper nouns), uses the "&" symbol between multiple authors in the reference list, and uses "et al." for sources with three or more authors in all in-text citations.
MLA 9th Edition logic: Organized around the container model. A source always exists within a container (a journal, a website, a streaming platform, an anthology). Some sources have two containers (an article in a journal accessed through JSTOR -- JSTOR is the outer container). In-text citations use author-page, not author-date, because humanities readers want to locate the exact passage. Titles of short works (articles, poems, short stories) go in quotation marks; titles of long works (books, journals, films) are italicized.
Chicago 17th Notes-Bibliography logic: Used in history, art history, and some humanities. Footnotes serve a dual purpose: they cite the source AND allow the author to add commentary or tangential information. The first footnote for a source gives the full citation; subsequent footnotes give a shortened form (Author, Short Title, Page). The bibliography at the end uses a format slightly different from the footnote format (inverted name, different punctuation).
Chicago 17th Author-Date logic: Used in physical sciences, social sciences, and some humanities. Identical to APA in concept but different in punctuation, capitalization, and structure. Uses (Author Year, Page) in-text. Titles use headline-style capitalization (capitalize all major words), unlike APA sentence case.
Step 4: Map the Learner's Source Types to Required Fields
Each source type has a specific set of required fields. Missing a field is the most common citation error. Create a field map for the learner's actual sources.
Journal article fields (all styles): Author(s), publication year, article title, journal name, volume, issue, page range, DOI (preferred) or URL.
Book fields (all styles): Author(s) or editor(s), publication year, book title, edition (if not first), publisher name (APA 7 drops publisher location; MLA 9 and Chicago still use it in some cases).
Book chapter in an edited volume: All book fields PLUS chapter author(s), chapter title, editor(s) of the volume, and page range of the chapter. This is the source type most frequently formatted incorrectly because learners treat it like an article.
Website/webpage: Author or organization, publication or last-updated date (or "n.d." if none), title of page, website name (if different from author), URL, and retrieval date (APA only requires retrieval date for sources that change, such as wikis).
Government report: Issuing agency as author, year, report title, report number if available, publisher (often the agency itself), URL or DOI.
Dataset: Creator(s), year, dataset title, version, repository name, DOI or URL. APA 7 added a specific format for datasets.
Dissertation/thesis: Author, year, title, type (Doctoral dissertation or Master's thesis), institution, database name if accessed through ProQuest or similar.
For each source type the learner mentions, provide the specific required fields and flag the fields that are most commonly missed.
Step 5: Build the Learner's Source Tracking System
Provide a customized version of the Source Tracking Sheet based on their project:
- For a short paper (under 20 sources): A 7-column spreadsheet covering Author(s), Year, Title, Source Type, Key Argument/Finding, Where Used in Paper, and Formatted Citation (Style).
- For a thesis or literature review (20+ sources): Add columns for Themes/Keywords, Methodology, Sample/Context (for empirical studies), and Limitations Noted. This supports thematic grouping, not just bibliographic tracking.
- Recommend color-coding by source type or thematic cluster for visual navigation.
- Advise them to paste the full formatted citation into the tracking sheet as they add each source -- not after, when they will have to redo the work.
Step 6: Provide the Citation Format Quick Reference
Produce a format reference card tailored to the citation style(s) the learner is using, covering the source types they actually have. Include:
- The exact format template with labeled fields (e.g.,
Author, A. A. (Year). Title in sentence case. Publisher.)
- A real example for each source type, not a template with bracketed placeholders
- The five most common errors for that style with corrections
- The specific rules for edge cases in that style (e.g., how APA handles works with no date, how MLA handles sources with no page numbers, how Chicago handles unpublished manuscripts)
Step 7: Create the In-Text Citation Checklist and Reference List Audit Process
Give the learner a verification system they can run before submission:
In-text citation checklist:
- Every factual claim that is not common knowledge has an in-text citation
- Every direct quote includes a page number (or paragraph number for sources without pagination)
- Every in-text citation has a matching entry in the reference list (same author spelling, same year)
- Every reference list entry has a matching in-text citation (no uncited sources in the bibliography)
- Authors with the same last name are disambiguated (APA: include first initials; Chicago: spell out first names in bibliography)
- Multiple works by the same author in the same year use letter suffixes (a, b, c) in APA and Author-Date Chicago
- Et al. rules are applied correctly: APA 7 uses et al. for 3 or more authors in ALL in-text citations (first and subsequent); MLA uses et al. for 3 or more authors; Chicago NB spells out up to 10 authors in bibliography
Reference list audit -- run in this order:
- Sort alphabetically by first author's last name (all styles) or by first author's last name then year (APA, Chicago Author-Date)
- Check that every entry has a hanging indent (first line flush left, all subsequent lines indented 0.5 inches)
- Verify that journal titles are italicized and article titles are NOT italicized (in APA and Chicago; in MLA, article titles go in quotation marks)
- Confirm DOIs are formatted as hyperlinks starting with
https://doi.org/ (APA 7 requirement; also best practice in other styles)
- Check that publisher names are not abbreviated (do not write "Wiley"; write "John Wiley & Sons" or follow the style guide's specific guidance)
- Verify dates: APA uses (Year) immediately after the author; MLA and Chicago put the date later in the entry
Step 8: Connect to Workflow and Next Steps
Close the session by anchoring the system to the learner's immediate paper-writing timeline:
- Specify when they should add sources to the tracker (the moment they decide to use the source, not at the end)
- Recommend they format each citation fully in the tracker before writing the section that cites it -- this prevents the common error of writing "Smith argues..." and then forgetting the full citation details
- If they are using Zotero or similar: explain that auto-generated citations from these tools contain errors in roughly 15--30% of cases and must be manually verified against the style guide before submission
- Identify which complementary skill to use next based on their situation (if they are still selecting sources, use
literature-search; if they need to write about the sources, use annotated-bibliography)

Producing a citation from a partial reference (e.g., "cite this book by Malcolm Gladwell") without complete publication data leads to incomplete or fabricated citations. If the learner wants a specific citation generated, ask them for all required fields for that source type before proceeding.

"Padding" the bibliography with impressive-looking sources the writer did not actually cite is a form of academic dishonesty.

Treat the book chapter in an edited volume as a distinct source type, not a variant of a book or article. This is the most commonly misformatted source type. It requires both the chapter author's name AND the volume editor's name, the chapter title AND the book title, and the page range of the chapter within the book. Many learners either format it as a book (omitting chapter author and page range) or as an article (omitting editor and book title).

When a source has no author, do not substitute the website name or "Anonymous." The correct approach varies by style: APA moves the title to the author position; MLA begins the Works Cited entry with the title; Chicago NB footnotes begin with the title. "Anonymous" is used ONLY when the source explicitly names the author as Anonymous.
Edge Cases
The Learner Has Sources from Multiple Disciplines Requiring Different Styles
A graduate student might have a paper where the instructor requires APA but some of their sources are from law journals (which use Bluebook) or historical documents. Recommendation: use the required style (APA, MLA, Chicago) for all sources. Adapt the general citation format for unusual source types using the closest analogous format the style guide provides -- for example, legal cases in APA 7 have their own specific format (italicize the case name, include volume, reporter, and year in parentheses). If the style guide does not cover a source type, follow the guide's general principle (answer Who? When? What? Where?) and note the decision.
The Learner Is Using Ibid. in a Chicago Notes-Bibliography Paper
"Ibid." (Latin for "in the same place") is used in Chicago NB footnotes to repeat the immediately preceding citation. However, Chicago 17th edition discourages ibid. in favor of shortened citations, and some instructors explicitly prohibit it. Advise the learner to check with their instructor. If ibid. is permitted: it can only be used when the footnote immediately follows a footnote citing the same source. "Ibid., 45" means the same source as the previous footnote, page 45. If any other footnote intervenes, use the shortened form instead (Author, Short Title, Page).
The Learner Has More Than Three Authors and Is Unsure About Et Al.
This is a genuine complexity because the rule differs by style and has changed across editions:
- APA 7th: Use et al. for 3 or more authors in ALL in-text citations, first and subsequent. In the reference list, list up to 20 authors; for 21 or more, list the first 19, insert an ellipsis (...), then the final author.
- MLA 9th: For 3 or more authors, list the first author followed by "et al." in both in-text and Works Cited.
- Chicago 17th NB bibliography and Author-Date reference list: List up to 10 authors. For 11 or more, list the first 7, then "et al." In notes (NB style), list up to 3 authors; for 4 or more, use et al.
Provide a table with these thresholds when the learner is working with multi-author sources.
The Learner Is Citing a Source That Has Been Retracted
This happens most often in science and medicine. A retracted article should not be cited as if it is valid research. If the learner discovers a source has been retracted: (1) remove the citation if the claim it supported can be supported by a non-retracted source, (2) if the retracted article is itself the subject of discussion (e.g., in a paper about research integrity), cite it explicitly as retracted -- APA 7 has specific guidance: add [Retracted] after the title and include the retraction notice as a separate reference. Instruct the learner to check Retraction Watch or the publisher's website.
The Learner's Instructor Provided a "Citation Guide" That Contradicts the Official Style Manual
This is common. Instructors sometimes create simplified guides that omit or modify official rules. Resolution: the instructor's guide takes precedence for that course. Note the discrepancy explicitly so the learner understands that the instructor's version is course-specific, not universal. For example: "Your instructor's guide says to omit DOIs -- this differs from APA 7th official guidance, which requires them. Follow your instructor's rule for this paper and use the official rule everywhere else."
The Learner Is Converting an Existing Reference List from One Style to Another
This requires a systematic field-mapping process, not line-by-line rewriting. Guide the learner to:
- First audit the existing list to ensure all required fields are present (APA to Chicago conversion often requires adding publisher location, which APA 7 dropped but Chicago still requires for books)
- Create a conversion table mapping each old format element to the new one (author format, date position, title capitalization, punctuation between elements)
- Use find-and-replace for systematic changes (e.g., changing all
(Year) to , Year, when converting APA to Chicago Author-Date)
- Handle title capitalization manually -- changing from sentence case (APA) to headline case (Chicago, MLA for book/journal titles) cannot be automated reliably
The Learner Is Citing a Social Media Post, Podcast, or YouTube Video
These are increasingly common source types that style guides added relatively recently:
- APA 7: Twitter/X post: Author [@username]. (Year, Month Day). First 20 words of post [Tweet]. Platform. URL. YouTube: Author, A. (Year, Month Day). Title of video [Video]. Platform. URL.
- MLA 9: Treat the platform as the container. Author. "Title or Description." Platform, Day Month Year, URL.
- Chicago 17th: Similar logic to MLA but with different punctuation. If the post has no formal title, describe it in brackets.
Key rule: archive or screenshot social media sources at the time of access because they can be deleted. Note this in the tracking sheet.
The Learner Is Writing a Thesis with Hundreds of Sources and Their Reference Manager Has Corrupted Some Entries
This is a high-stakes situation requiring triage. Guide them to:
- Export the full library from the reference manager as both the native format AND as a plain text/CSV file -- do both before making any changes
- Identify corrupted entries by filtering for missing required fields (most reference managers allow this)
- For entries with DOIs, re-import using the DOI directly (Zotero's "Add item by identifier" function is reliable for DOI-based imports)
- For entries without DOIs, verify against the original source -- never reconstruct from memory
- Prioritize fixing the sources most heavily cited in the thesis first
- Consider keeping a parallel manual backup of the reference list as a Word document for the final 50 most important sources

Citation Style Logic: Why Chicago Notes-Bibliography Works This Way
Chicago NB was designed for historical scholarship, where context and commentary matter as much as the source itself. Footnotes do double duty: they tell the reader where a claim comes from AND allow the author to add nuances that would interrupt the main argument. The first time you cite a source, the footnote contains the full citation. Every time after that, you use a shortened form. The bibliography at the end gives the reader a master list of all your sources in a slightly different format than the footnotes (inverted author name, different punctuation) -- this is not an error, it is intentional.

Chicago NB does not use in-text parenthetical citations. All citations appear as footnotes (at the bottom of the page) or endnotes (at the end of the document). Your professor will specify which. The superscript number in the text directs the reader to the corresponding note.

Recommended Workflow for This Paper
- Today: Set up your Source Tracking Sheet with the 15 sources you already have. Fill in Author, Year, Short Title, Type, and Key Argument for each. Do not move on until this is done -- this is your foundation.
- As you draft each section: Look up the sources relevant to that section in your tracker. Format the full footnote and bibliography entry for each source in the tracker before you write the paragraph citing it.
- When you write a footnote: Insert the footnote number in the text, type the full citation the first time and the shortened form every subsequent time. Do not try to number them manually -- use your word processor's Insert Footnote function.
- After completing the draft: Run the footnote audit: for each source, find its first footnote (full format) and verify that all subsequent footnotes use the shortened form.
- Before final submission: Copy all formatted bibliography entries from your tracker into the bibliography section of your paper. Sort alphabetically. Apply hanging indent via Format > Paragraph > Special > Hanging, 0.5 inches. Verify against the checklist above.
