Do NOT use when:

Process
Step 1 -- Gather the User's Situation Before Recommending Anything
Do not jump to a plan. Ask two or three targeted questions first. The answers determine the entire approach:
Scope: Is this a single category (clothing, books), one room, or a full home? A full home is a multi-session project; a closet can be done in an afternoon.
Time available: A free weekend (10-16 hours) allows a thorough category-based sweep. A few hours on weekday evenings calls for a room-by-room or zone-based approach over several weeks. "I have 20 minutes" calls for the 5-minute start technique applied to a single drawer.
Primary driver: General simplification feels different from pre-move pressure, which feels different from grief-driven estate processing. Each has a different emotional register and different decision criteria.
Household composition: Are there other adults, children, or elderly family members whose belongings are involved? Decluttering only works by consent -- no one can declutter another person's things.
Past attempts: Has the user tried before and stalled? If yes, identifying where they stalled helps you prescribe the right method. Common stall points: sentimental items, overwhelming volume, "I might need it someday" thinking.
If the user just wants to start immediately without answering questions, default to the momentum-based approach starting with clothing, which has the highest success rate for first-time declutterers.
Step 2 -- Select and Explain the Appropriate Decluttering Method
Present the method that matches the user's situation. Do not list all methods and make them choose -- recommend one with a brief explanation of why.
Category-Based (Recommended for full-home declutters with at least a full day available):
Popularized by Marie Kondo's KonMari method but used in many systems. The core insight is that you see the full scope of what you own only when you gather all instances of a category in one place.
Standard category order: clothing -- books -- papers -- komono (miscellaneous: kitchen, bathroom, garage, hobby items, electronics) -- sentimental items. This order is deliberate: earlier categories build decision speed, and sentimental items require the sharpest judgment, so they come last.
Best for: people who own a lot and want to do it once, thoroughly, rather than repeatedly

Step 3 -- Establish the Decision Framework
Give the user clear, specific questions to ask of every item. Different item types have different primary criteria:
For clothing:
Does it fit right now (not "when I lose weight," not "if I alter it")? If no, donate.
Have you worn it in the last 12 months? If no, and it is not a true special-occasion item, donate.
Does it require a repair or alteration you have been delaying for more than 6 months? It will not get done. Donate.
Is it worn out, pilled, stained, or stretched? Discard (not donate -- donating wearable garbage shifts your burden onto a charity).
For books:
Will you realistically reread it? "I might" without a specific reason means no.
Is the information still accurate and not freely available online? Reference books from the 1990s rarely meet this standard.
Are you keeping it because you feel you should have read it? Donate. The guilt associated with unread books does not improve with keeping them.
For kitchen items:
Have you used it in the last 12 months? Single-use gadgets with a "no" are almost always donate candidates.
Does it perform a function that another item you own already performs? Duplicate function = donate the inferior version.

Step 4 -- Set Up the Physical Sorting System Before Starting

SELL: Optional fourth active bin if the user wants to list items on secondhand platforms. Keep this bin small -- the commitment to actually listing and selling items must be realistic. Give items in the SELL bin a 30-day deadline; if not listed and sold, they move to DONATE.
DECIDE LATER: One box only. One.
RELOCATE: A basket for items that belong in a different room but are not declutter candidates. Do not stop to put these away mid-session -- toss them in the basket and put them away at the end.
Step 5 -- Execute the Declutter in the Correct Sequence
Provide the full sequence with time estimates. Time estimates assume average accumulation for a typical household; adjust upward 50% for someone who describes themselves as having "a lot of stuff" and downward 30% for someone moving from a small space or who declutters regularly.

Execution tactics within a session:
Touch every single item -- do not just scan visually. The physical act of handling an object activates the decision process in a way that looking does not.

The "best 10" technique: For categories with high volume and high sentiment (greeting cards, photos, children's drawings), the user does not need to keep everything or nothing. Keep the 10 most meaningful, photograph the rest.
Step 7 -- Execute the Exit Strategy Immediately
Clutter that is sorted but not removed is not decluttered. Items that stay in the house in bags tend to migrate back into rotation. The exit plan is as important as the sorting:
Donation bags go to the car before the session ends. Not to the garage, not to the hallway -- to the car.
Drop-off should happen within 48 hours of sorting. For users in areas without convenient donation centers, identify the closest drop-off location, confirm accepted items (most Goodwill, Salvation Army, or Habitat for Humanity ReStore locations have posted restrictions), and schedule it the same day.
Specialty donations require planning: musical instruments (school music programs, community music organizations), eyeglasses (Lions Club, 1-800-RECYCLING drop sites), sports equipment (youth sports leagues, YMCA), formal wear (dress for success programs, prom dress drives), children's items (shelters, foster care programs, Buy Nothing neighborhood groups)

Step 8 -- Install the Maintenance System

Legally protect the following -- never suggest discarding them under any circumstances: Tax records for the current year plus 7 prior years (IRS audit window). Vital documents: birth certificates, death certificates, marriage and divorce certificates, adoption records, naturalization certificates, Social Security cards. Financial: property deeds, mortgage documents, vehicle titles. Medical: vaccination records, surgical records, chronic condition documentation, advance directives, living wills. Legal: wills, trusts, power of attorney documents, beneficiary designations. Employment: pension documents, final pay stubs, Social Security earnings statements.
The Decide Later box has exactly two rules: maximum 10% of total items evaluated, and a hard 2-week deadline. There is no negotiation on the size of this box and no second Decide Later cycle. Items that complete a second cycle without a decision default immediately to DONATE. The purpose of the Decide Later category is to handle genuine uncertainty, not to create a parallel accumulation system.
Damaged items go in DISCARD, not DONATE. This is both an ethical and practical rule. Donation centers spend significant resources sorting and discarding items that donors should have discarded themselves. Stained, broken, worn-out, or incomplete items (puzzles with missing pieces, sets with missing components, electronics that do not power on) belong in the trash or appropriate recycling stream, not in a donation bag.
Exit logistics must be scheduled before the first item is sorted. A declutter session that ends with bags stacked in the hallway has not ended -- it has paused. Pre-scheduling the donation drop-off creates accountability and prevents the common failure mode of bags sitting for weeks until items drift back into rotation.
Recognize and respond differently to the three types of declutter paralysis: Decision fatigue (the user has been sorting for 3+ hours and every item feels hard) -- prescription is a genuine break of at least 20 minutes, food, water, and resumption tomorrow. Emotional attachment paralysis (the user cannot release items connected to a specific person or period) -- prescription is the memory box method, photo preservation, and explicit permission to keep what matters, not a deadline or volume target. Volume overwhelm (there is so much the user cannot face starting) -- prescription is the 5-minute start technique applied to one small container.
Edge Cases
The user is emotionally overwhelmed and grieving -- estate or end-of-life context:
When a user is processing belongings after a death or preparing their own belongings because of illness or age, the emotional context is fundamentally different from standard decluttering. Move more slowly. Acknowledge explicitly that there is no right speed and no obligation to release items before the user is ready. The Swedish Döstädning framework is well-suited here because it is explicitly organized around legacy and love rather than efficiency. Suggest spreading the work over weeks or months rather than a single weekend. Never use language framing keeping items as "failing to declutter." The goal is making intentional choices, not meeting a volume target. If the user mentions significant grief, pause the process entirely and ask if they would like to continue or address the emotional side first.
Shared household with different tolerances -- one partner is a keeper, one is a minimalist:
This is one of the most common relationship friction points around home organization. Enforce the boundary clearly: each person declutters only what is unambiguously theirs. For shared items, a simple negotiation rule: either party can veto releasing an item. This asymmetry favors keeping, which is appropriate because the relationship is more important than any individual decluttering outcome. Suggest the minimalist partner start with their own items and demonstrate results before initiating conversations about shared spaces. Do not position this as a conflict to win.
Extreme volume -- a user describes a house full of accumulated belongings spanning decades:
For very high-volume situations (a house where multiple rooms are largely inaccessible, storage units are rented to overflow, or the user estimates the project at 30+ hours), recommend a modified approach. First, do one pass through the entire home sorting only obvious discards -- broken items, clear trash, things even the user identifies immediately as waste. This first pass often removes 10-20% of the volume without any difficult decisions. Then begin the category or room sequence. Set realistic expectations: a truly high-volume home may require 4-8 full sessions over 2-4 months. Professional organizer support (not clinical, just practical organizing assistance) is appropriate to suggest here and does not imply a hoarding disorder.
Preparing for a move with a hard deadline:
The decision framework shifts under time pressure. The primary question becomes: "Is this worth the cost to pack, move, and unpack?" For a local move, the actual cost per box is roughly $5-15 (materials, labor, truck fraction). For a long-distance move, the cost per pound matters more -- professional movers typically charge $0.50-$1.00 per pound for long-distance moves, meaning a 50-pound box of books costs $25-50 to transport. Frame decisions in these terms: "This bag of old clothes is worth about $0 but costs $10 to move. If you wouldn't pay $10 to move it, you shouldn't move it." Suggest the user frame conversations around helpfulness rather than decluttering: "Would it help if I organized this for you?" or "Let me sort through these papers to make sure the important ones are easy to find." The parent should make every keep/donate decision for their own items. The user's role is support and logistics, not decision-making. If there are genuine safety hazards (blocked pathways, fire hazards from accumulated materials), those specific items may need to be addressed directly and framed around safety.
The user has already decluttered multiple times with no lasting results:
When a user reports that they have done thorough declutters before but the clutter always returns, this is a behavioral and accumulation pattern problem, not a sorting problem. Shift the focus from the declutter execution to the intake. Ask what types of items tend to accumulate: gifts received out of obligation, impulse purchases, items accumulated via shopping as recreation, free items taken because "it's free." Each of these has a specific behavioral intervention. Obligatory gifts require a conversation with gift-givers. Impulse purchases require the purchase pause protocol and possibly identifying the emotional driver of shopping. The kitchen is the room where "just in case" thinking is strongest. Address it directly before starting.
Decision rule for gadgets: Have I used this in the last 12 months? Is there another item I own that does the same thing? If the answer to either is yes/yes, it donates.
Watch out for: The guilt attached to expensive single-use appliances (bread makers, pasta machines, air fryers used twice). The purchase price is gone either way. The question is only whether the item earns the counter or cabinet space it occupies.
Pantry and food:
Check every expiration date. Discard anything expired. This is non-negotiable -- expired food is not a declutter candidate, it is a discard.
Duplicate items: 4 cans of the same soup is fine (pantry stock). 3 bottles of balsamic vinegar is not -- use what you have.
Specialty ingredients purchased for one recipe, never used again: if they have a shelf life and are expired, discard. If still good, donate to a food pantry or use within 2 weeks.
Spices: check dates and smell. Spices older than 2-3 years have lost most of their potency. Discard and replace the ones you actually use.
Gadgets and small appliances:
Lay every gadget and small appliance on the kitchen table or floor. Every one.
Powered by electricity and not used in 12 months: DONATE unless it is genuinely seasonal (holiday cookie press, outdoor grill accessories).

Dishes, glasses, and cookware:
Chipped dishes or cracked glasses: DISCARD. Chipped ceramics and cracked non-stick coatings are a food safety issue, not just an aesthetic one.
Plastic containers: match every container to its lid right now. Lids without containers, containers without lids: DISCARD. Keep a set of 6-8 containers (glass preferred for longevity).
Mugs: keep 1 per person plus 2 for guests. If you live alone, that is 3 mugs total. Most people own 12-20.

"Someday" books unread for over 12 months: DONATE. Be honest.
Textbooks from courses completed 5+ years ago: the information is available online, updated, and free. Donate if in good condition (college textbook buyback programs or university libraries), discard if dated or damaged.
DVDs and CDs for content available on streaming: if you own a streaming subscription that provides the same content, these are redundant. Donate.
Video games for consoles you no longer own: donate to used game stores or gaming-oriented charity programs.
Magazines: keep the current month. Recycle everything older. If you are keeping them for specific articles, clip the article and discard the rest.
Living Room -- Decor, Electronics, Media, Games -- 1.5-2 hours -- Medium
Decision rule: Does this item contribute to how I want this space to feel, or is it just here because I have never made a decision about it?
Decor you no longer love: the fact that it used to mean something does not mean it must stay. Donate.
Electronics: dead remotes (test them), cables and chargers for devices you no longer own, obsolete adapters, old phones and cameras never used. Electronics go to e-waste recycling, not trash.
Board games and puzzles: games with missing pieces discard. Games not played in 2 years donate to a library, school, or shelter.
Throw blankets and pillows: keep what you actually use. 2-3 throw blankets and 2-4 decorative pillows per room is more than sufficient.
Candles burned to the bottom, diffusers with no oil, plants that have died: discard.
Second Bedroom / Storage Room -- 2-3 hours -- Hard
This is likely the most volume-intensive zone. The items here ended up here precisely because a decision was avoided. Apply extra discipline: the default in this room is DONATE unless there is a specific reason to keep.
Sports and hobby equipment: honest assessment -- active hobby (used in the last 6 months) = keep with a designated home. Abandoned hobby (not touched in a year) = donate. Equipment for a sport you no longer play = donate.
Seasonal items (holiday decorations, seasonal clothing, camping gear): keep only if actually used each season. Evaluate condition and whether duplicates exist.
Gift wrap, shopping bags, ribbon: consolidate into one container. One container. Everything that does not fit donates or discards.
Tools: keep a basic toolkit (hammer, screwdrivers, measuring tape, level, pliers, basic drill). Specialty tools used for one project 4 years ago: donate or return to whoever lent them.
Old electronics: phones, tablets, monitors, printers. If not in working condition, e-waste recycling. If working, donate. If they contain personal data, factory reset before donating.

Memory box rule:
One banker's box (10" x 12" x 15") per person. This is your sentimental container. It can be filled with whatever matters most to you.
It does not expand. When it is full and something new needs to enter, something else must leave -- you decide what.
This constraint is not cruelty. It is the framework that makes "keep what matters most" a real choice rather than "keep everything."
What to do with each category:
Greeting cards: read through them. Keep the 10-15 that carry the most meaning. Photograph the rest if you want to preserve the messages. Recycle the physical cards.
Photos (physical prints): organize by rough era. Keep the ones that show something meaningful -- a face, an event, a place that matters. Scan favorites if you want a digital backup. Donate albums with generic landscapes or unknown people to antique stores (they have buyers for this).
Gifts kept out of obligation rather than love: you are not obligated to keep a gift. The act of giving was the expression of love -- the object does not
Apply the 20/20 rule to interrupt "just in case" hoarding. When a user hesitates on a utilitarian item with "but I might need it someday," apply the 20/20 test: replaceable for under $20 in under 20 minutes? Then the "just in case" cost is under $20. Decluttering is not organizing. A session that begins with "I want to declutter my closet" and ends with items reorganized into new storage bins without any items removed is a reorganizing session, not a decluttering session. Gently redirect users who are gravitating toward buying new storage before reducing volume. Adding storage capacity before reducing volume almost always leads to filling the new storage.
Accumulation rebound is predictable and must be addressed at the end of every session. Research on household goods accumulation shows that without behavioral change, most households return to pre-declutter clutter levels within 6-18 months. The maintenance section of the output is not optional or supplementary -- it is the difference between a one-time project and a lasting change. The one-in-one-out rule, nightly reset, and quarterly sweep must be part of every plan delivered.
