Apply citation strategy in academic writing — selecting authoritative sources, using citations accurately and ethically, managing reference styles correctly, and citing strategically to build argument credibility and maintain traceable claims.

Why This Is Best Practice

Adopted by: The APA Publication Manual (7th ed.) is required by thousands of social science, education, and psychology journals. The MLA Handbook is required in most humanities disciplines. The Chicago Manual of Style governs history, literature, and publishing. All major university academic integrity policies define citation requirements as part of scholarly standards. Booth, Colomb & Williams' "The Craft of Research" is the most widely used academic writing methods text and covers citation as an integral part of research. Impact: Citation performs two functions: credibility (showing that claims are grounded in established research) and traceability (enabling readers to verify sources and locate original materials). Papers with no citations or insufficient citation cannot be evaluated for accuracy; papers with incorrect citations undermine the reader's ability to verify. Academic integrity violations (plagiarism, fabricated citations) result in retraction, degree revocation, and professional sanctions that persist permanently in academic records.

Steps

1. Distinguish what requires citation from what doesn't

Citation required:

• All direct quotations
• All paraphrased ideas, findings, or claims from specific sources
• Statistics, data, and research results
• Definitions from specific sources (when using a specific author's definition)
• Claims that would be disputed without evidence

Citation not required:

• Generally accepted knowledge: "the Earth orbits the Sun"
• Your own original analysis and conclusions
• Common knowledge within the field that any competent reader would know without needing a source
• Your methodology when using standard, well-known methods

The "any competent reader would know this" test: if a reader in the field would challenge this claim and ask "where does this come from?", it requires a citation. If the claim is universally accepted without question, it does not.

2. Select authoritative sources by tier

Not all sources are equal; citation strategy requires selecting sources appropriate to the claim:

Tier 1 (strongest):

• Peer-reviewed journal articles (original research)
• Peer-reviewed books published by university presses
• Official government and intergovernmental organization reports (WHO, CDC, IPCC)

Tier 2 (acceptable with context):

• Books by recognized experts published by reputable publishers
• Reports from established research institutes
• Conference proceedings (peer-reviewed)

Tier 3 (use only when better sources unavailable):

• Non-peer-reviewed institutional reports
• Newspaper and magazine articles (appropriate for claims about events, not scientific findings)
• Websites of established organizations

Avoid for academic writing:

• Wikipedia (can be a starting point but should never be cited; use its sources)
• Blogs, personal websites, and social media
• Non-peer-reviewed opinion articles for empirical claims
• Sources behind pay walls or unavailable to readers (lowers traceability)

Primary vs. secondary sources:

• Primary source: the original research, document, or data
• Secondary source: a source that discusses the primary source
• Cite primary sources whenever possible; if you haven't read the original, cite the secondary source and indicate you accessed it through the secondary ("as cited in")

3. Cite accurately — match citation to actual source content

The accurate citation rule: the citation should support exactly the claim being made; a reader who retrieves the source should find the cited information in the location indicated

Common errors:

• Over-citing the authority: "Einstein (1905) showed that relativity undermines classical mechanics" — correct claim, but Einstein's specific 1905 paper is about special relativity, not about undermining classical mechanics as broadly stated; the citation is inaccurate
• Misrepresenting the source: citing a source that found X to support a claim that Y when X and Y are not equivalent
• Page number omission for direct quotes: APA and Chicago require page numbers for direct quotations; "Jones (2019) stated that 'X'" without a page number is an incomplete citation

Direct quotation rule: direct quotes must be verbatim; any change to spelling, punctuation, or wording requires [brackets] for additions, ellipsis (...) for omissions, or [sic] for preserved errors in the original.

4. Format references correctly in the required style

APA 7th edition (most common in social sciences, education, psychology):

• In-text: (Author, Year) or Author (Year)
• Reference list: Author, A. A. (Year). Title of work. Publisher. DOI/URL

MLA 9th edition (humanities):

• In-text: (Author page number) or Author (page number)
• Works Cited: Author. "Article Title." Journal Name, vol. X, no. X, Year, pp. XX–XX.

Chicago 17th (history, literature, many humanities):

• Notes-Bibliography: footnote/endnote for full first citation; shortened subsequent citations; bibliography at end
• Author-Date (for social sciences): similar to APA; (Author year, page) in text

Reference management tools:

• Zotero (free, open source): browser extension for one-click source capture; auto-formats in APA, MLA, Chicago, and 9,000+ other styles
• Mendeley: similar; widely used in STEM
• EndNote: institutional standard at many universities; more powerful but less free
• Use one consistently; manual reference formatting produces errors at scale

5. Use citation strategically, not defensively

Strategic citation builds the argument; defensive citation buries the reader in noise:

• Cite to establish the terrain: cite foundational works that establish the field context early; show you know the literature
• Cite to support specific claims: each empirical claim requires a source; each theoretical claim requires either a source or your own argument
• Avoid over-citation: citing 5 sources for a commonly accepted claim signals insecurity; cite the most authoritative and the most recent
• Cite to acknowledge debt: when building on another scholar's framework or method, cite them explicitly; failure to do so is academic appropriation even without direct quotation

The conversation framing (Graff & Birkenstein): citation connects the current paper to the ongoing scholarly conversation; citations are not just acknowledgments but entries into dialogue: "Building on Jones (2019), I extend the analysis to..." or "While Smith (2020) found X, this study finds Y, suggesting..."

Common Mistakes

• Plagiarism through paraphrase without citation: changing the wording of a source without citing it is plagiarism; the source of an idea must be cited regardless of whether the exact words are used
• Citation strings without engagement: listing six citations for one claim without evaluating their agreement or tension; academic writing requires engaging with sources, not just listing them
• Outdated sources for rapidly changing fields: citing a 2005 review article for a medical claim when meta-analyses published in 2020 exist; use the most current systematic evidence available; outdated citations in a rapidly moving field signal inadequate literature search

When NOT to Use

• Journalism, professional reports, and white papers: these forms have different source norms (attribution without formatted citation; hyperlinks for web sources; AP or organizational style); academic citation formats are not appropriate for professional or journalistic writing.
