What This Project Does
Adobe-InDesign-2026 is a workflow reference repository documenting professional layout and publishing practices for Adobe InDesign 2026 on Windows. It provides checklists, configuration guidance, and export presets for producing print-ready deliverables including brochures, magazines, and multi-page publications.
Name masters descriptively: A-Cover, B-Body, C-Chapter
Use parent-child relationships for variations
InDesign UI workflow:
Window → Pages (F12)
Right-click master page → New Master
Set margins: Layout → Margins and Columns
Add auto page numbers: Type → Insert Special Character → Markers → Current Page Number
Example master page naming:
A-Master (base)
├── B-Cover (child of A)
├── C-Body-1Col (child of A)
└── D-Body-2Col (child of A)
2. Paragraph Styles
Paragraph styles ensure typographic consistency across documents.
Creating a style:
Format one paragraph manually
Window → Styles → Paragraph Styles (F11)
Right-click → New Paragraph Style
Select formatted text → "Redefine Style"
Essential styles checklist:
Body Text (base style)
Heading 1, Heading 2, Heading 3
Caption
Pull Quote

Example character styles:
Emphasis (italic)
Strong (bold)
Hyperlink (colored, underlined)
Small Caps
Apply: Select text → Window → Styles → Character Styles → click style
4. Linked Assets Management
InDesign links external files rather than embedding them.
Links panel → Select missing link → Click chain icon → Navigate to file
Supported formats:
Images: PSD, AI, PDF, TIFF, JPEG, PNG
Vector: AI, PDF, EPS
5. Preflight Validation
Preflight checks for errors before export (missing fonts, low-res images, overset text).

Save: Window → Workspace → New Workspace
Essential panels:
Pages (F12)

Preflight (Ctrl+Alt+Shift+F)
Common Patterns
Pattern: Style-Based Layout
Always use styles, never local formatting.
1. Create base Body Text style (10pt, leading 12pt)
2. Create derivative styles:
- Body First ¶ (based on Body, first-line indent 0)
- Body Drop Cap (based on Body, drop cap 3 lines)
3. Apply programmatically via Find/Grep
4. Update design by editing style definition
Benefits:
Change entire document by editing one style
Maintain consistency across multi-document projects
Enable Table of Contents automation
Pattern: Image Frame Workflow
Prepare frames before placing images:
1. Draw frame with Rectangle Frame Tool (F)
2. Set frame to exact dimensions
3. Object → Fitting → Frame Fitting Options:
- Fitting: Fill Frame Proportionally
- ☑ Auto-Fit
4. File → Place → Select image
5. Image auto-fills and centers
Reusable object style:
Window → Styles → Object Styles → New
Name: "Photo Frame - Full Bleed"
Settings:
- Stroke: None
- Frame Fitting: Fill Frame Proportionally
- Auto-Fit: ON
Pattern: Multi-Document Book
Use Book panel for multi-file projects:
1. File → New → Book
2. Save as "project-name.indb"
3. Add documents: Book panel menu → Add Document
4. Synchronize styles:
- Right-click source document → Synchronize Options
- Check Paragraph Styles, Character Styles, Swatches
- Book panel menu → Synchronize Book
5. Export entire book: Book panel menu → Export Book to PDF
1. Tag headings with styles (Heading 1, Heading 2)
2. Layout → Table of Contents
3. Title: "Contents"
4. Include Paragraph Styles: Add Heading 1, Heading 2
5. Entry Style: TOC-Level1, TOC-Level2 (create first)
6. Click OK
7. Click to place TOC text frame
Update TOC:
Layout → Update Table of Contents
Troubleshooting
Missing Fonts
Problem: Pink highlight on text, "Missing fonts" in Preflight.
Solution:
Type → Find Font
Find Missing Font: [font name]
Replace with available font OR
Install missing font (get from package or original source)
Click "Change All"
Overset Text
Problem: Red plus sign on text frame corner.
Solution:
Option A: Enlarge frame (drag handle)
Option B: Link to another frame (click red + → click new frame)
Option C: Edit text to fit
Option D: Reduce tracking/leading in paragraph style
Locate overset text:
Edit → Preferences → Type → Highlight: Custom (set color for overset)
View → Extras → Show Text Threads (Ctrl+Alt+Y)
Low-Resolution Images
Problem: Preflight shows "Effective PPI is less than 300."
Solution:
Links panel → Select image
Check "Effective PPI" column (should be ≥300 for print)
If low:
Replace with higher-res version (relink), OR
Open in Photoshop → Image → Image Size → Increase resolution to 300 DPI
Color Space Mismatch
Problem: RGB images in CMYK document.
Solution:
Open image in Photoshop
Image → Mode → CMYK Color
Image → Convert to Profile → Destination: Coated FOGRA39
Save As → Format: Photoshop (PSD) or TIFF
InDesign: Links panel → Relink to new file
Prevent:
Edit → Transparency Blend Space → Document CMYK
Export PDF File Size Too Large
Problem: PDF export >100 MB.
Causes & fixes:
Uncompressed images: Use JPEG compression in export settings
Embedded fonts: Normal (fonts must be embedded)
Transparency: Flatten in export (PDF/X-1a)
Duplicate images: Use same linked file multiple times instead of placing duplicates
Optimize export:
File → Export → Adobe PDF (Print)
Compression:
- Color/Grayscale: Downsample to 300 PPI
- Compression: JPEG, Quality: High (not Maximum)
- Monochrome: Downsample to 1200 PPI, CCITT Group 4
Document Won't Print/Export
Problem: Export fails or hangs.
Diagnoses:
Save copy: File → Save As
Run preflight: Fix all errors
Check for:
Corrupt linked files (relink)
Oversized images (>20000px)
Too many transparency effects
Export pages in batches: Pages 1-10, 11-20, etc.
Combine PDFs in Acrobat
Environment Variables
No environment variables required. InDesign is a GUI application.
