When to Use
Use this skill when a learner needs to produce complete, written annotation entries for sources they have already identified. Specific trigger scenarios include:
- A student says "I need to write annotations for the 8 sources I found for my literature review" -- they have sources in hand and need the annotations written
- A graduate student asks "Can you help me annotate these journal articles for my thesis bibliography?" -- they need analytical annotations that connect sources to their research question
- A learner provides source information (title, author, abstract, or full text) and asks for a summary, evaluation, and relevance statement for each
- A researcher needs to produce a formatted annotated bibliography document for a course submission or grant proposal, with each entry following a specified citation style
- A student has a completed annotated bibliography entry but asks for feedback and revision -- the skill applies to improving existing annotations as well as creating new ones
- A learner working with primary sources (archival documents, interviews, datasets) needs guidance adapting the standard annotation format to non-journal material

Process
Step 1: Gather Source Information and Assignment Parameters
Before writing a single annotation, collect the information needed to produce accurate, tailored entries.
- Ask for the research question or thesis the bibliography supports -- every relevance statement requires knowing what the learner is arguing or investigating
- Identify the citation style required (APA 7th edition, MLA 9th edition, Chicago 17th Notes-Bibliography or Author-Date, Harvard, Vancouver) -- this affects both the citation line and the annotation's integration with the citation block
- Determine the annotation type required: descriptive (summary only), evaluative (summary + critical assessment), or analytical (summary + evaluation + relevance to the specific research question) -- most undergraduate and graduate assignments require analytical
- Ask for the required annotation length -- typical ranges are 100-150 words (undergraduate), 150-250 words (graduate), or 250-300 words (dissertation-level); some assignments specify sentence counts per section
- Collect the source details: author(s), year, title, publication venue, DOI or access information, and ideally an abstract or key excerpts -- if the learner can paste the abstract, this enables higher-quality summarization
- Ask how many sources need annotation in this session, so you can pace and prioritize
Step 2: Identify the Annotation Type and Structure the Template
Match the annotation format precisely to the assignment's requirements before drafting.
- Descriptive annotation: covers scope, purpose, and main arguments -- does NOT evaluate quality or connect to the research question; appropriate for reference works, encyclopedias, or assignments that explicitly limit scope
- Evaluative (critical) annotation: adds a layer of assessment -- author credentials, methodology soundness, bias, publication venue reputation, recency, and comparison to other sources on the same topic
- Analytical annotation: the most common academic requirement -- integrates all three components (summary, evaluation, relevance) and explicitly connects the source to the learner's specific research question or thesis
- Indicative annotation: describes the structure of the work (chapters, sections) rather than its content -- used for books, edited volumes, or long reports where full content summarization is impractical
- Combination types: some assignments request indicative-evaluative annotations for books and analytical annotations for journal articles -- confirm the type per source category if the bibliography is mixed
- Once the type is confirmed, establish the section proportions: for a 200-word analytical annotation, allocate approximately 80-100 words to summary, 60-70 words to evaluation, and 40-50 words to relevance
Step 3: Construct the Citation Line
Produce the full formatted citation before writing the annotation body -- errors in the citation undermine the entire entry.

- For books, include publisher and city (Chicago), or publisher only (APA 7th) -- confirm edition if relevant
- For websites or reports, include organization as author if no individual author is listed, access date if required by style, and the full URL or DOI -- the
citation-management skill can handle complex edge cases
- Double-check that author names are inverted (Last, First) for the first author in APA and Chicago, and for all authors in MLA
- If a DOI is available, always include it -- it is permanent and more reliable than a URL
Step 4: Write the Summary Section
The summary is a precise, condensed description of the source's content -- it is not evaluative and not a quotation.
- Open with the author's name and the source's main argument or purpose in a signal phrase: "Martinez (2021) examines..." or "This longitudinal study investigates..." -- avoid starting every annotation with "This article..."
- State the research question or central claim the source addresses, even if the learner must infer it from the abstract
- Identify the methodology if the source is empirical: qualitative, quantitative, mixed methods, systematic review, meta-analysis, ethnography, archival research, case study -- this single piece of information is essential for evaluation
- Report key findings or conclusions specifically: not "the study found positive results" but "the study found a statistically significant reduction in anxiety scores (d = 0.43) among participants who received cognitive behavioral therapy over 12 weeks"
- For non-empirical sources (theoretical essays, book chapters, policy documents), identify the theoretical framework or argumentative structure rather than methodology
- Maintain present tense for describing what the source argues ("Chen argues," "the authors conclude") -- this is standard academic convention
- Avoid direct quotation in the summary -- paraphrase in your own words; quotation implies significance that summarization does not carry
Step 5: Write the Evaluation Section
The evaluation section assesses the source's credibility, quality, and limitations -- it requires genuine critical judgment, not generic praise.
- Assess author credentials and institutional affiliation: a peer-reviewed article by a researcher at a recognized institution carries more weight than a white paper from an advocacy organization -- note this explicitly
- Assess publication venue: peer-reviewed journals with impact factors (if known) rank above trade publications; academic presses rank above self-published books -- note whether the source passed external peer review
- Assess methodology rigor: for quantitative studies, note sample size (small: N < 30; moderate: N = 30-100; large: N > 100), control groups, randomization, statistical reporting; for qualitative studies, note saturation, triangulation, member checking, reflexivity
- Assess recency and relevance of currency: in fast-moving fields (technology, medicine, policy), sources older than 5 years may be outdated; in humanities or foundational theory, a 30-year-old monograph may still be authoritative -- apply discipline-appropriate standards
- Identify explicit limitations: good authors acknowledge them in their discussion sections; if the author does not, the learner should note them independently (e.g., "The self-reported data introduces response bias that the authors do not address")
- Note potential bias: funding source, ideological alignment, advocacy position -- not to dismiss the source, but to contextualize it
- Compare to other sources in the bibliography where possible: "Unlike Johnson (2019), who argues for a structural explanation, Lee takes an individual behavior approach"
Step 6: Write the Relevance Section
The relevance section is the most personalized and most often neglected component -- it must be specific to the learner's research question, not generic.
- State which specific aspect of the research question or thesis this source addresses -- "This source supports the first section of my argument that X causes Y" is far better than "This source is relevant to my topic"
- Identify the role the source will play: background context, theoretical framework, supporting evidence, counterargument, methodological model, or comparative case
- If the source challenges or complicates the learner's argument, note this explicitly -- a strong bibliography includes sources that the researcher must grapple with, not just sources that agree
- Indicate if this source is foundational to the field and therefore essential regardless of direct argument alignment -- "Although Lee does not address urban contexts, her framework for community resilience is the standard starting point for this literature"
- Flag gaps between the source's scope and the research need: "This study focuses on adult populations, so its applicability to the adolescent sample in my study requires caution"
- Avoid circular relevance statements ("This source is relevant because it discusses X, which is my topic") -- force specificity by asking: what would the bibliography be missing without this source?
Step 7: Review, Format, and Deliver the Complete Bibliography
Assemble all entries into the final document with consistent formatting and a quality check.
- Alphabetize by author's last name for APA, MLA, and Chicago Author-Date -- Chicago Notes-Bibliography orders entries in footnote number order if that format is used
- Apply hanging indent formatting to each citation line (the second and subsequent lines of the citation are indented 0.5 inches) -- note this in the output since markdown cannot fully reproduce it, but flag that the learner must apply it in Word or Google Docs
- Verify parallel structure across annotations: all summaries should begin with a signal phrase, all evaluations should address at least two quality criteria, all relevance sections should name a specific argument component
- Check that annotation length is consistent across entries -- a 75-word annotation next to a 300-word annotation signals uneven engagement
- Confirm that no annotation begins with a direct quotation and that all annotations are in the learner's voice (even when AI-assisted) -- the learner should read each entry aloud to test whether it sounds like their academic voice
- If the bibliography is more than 10 sources, suggest organizing entries under thematic subheadings as an optional enhancement -- not all instructors permit this, so confirm before adding it

Edge Cases
The Learner Provides Only a Title and Author, No Content
This is the most common and most dangerous edge case -- writing an annotation without the source content produces hallucinated summaries.
- Ask the learner to paste the abstract, table of contents, or key excerpts before proceeding
- If the learner genuinely cannot access the source (interlibrary loan pending, paywalled), write a citation placeholder with a note: "[Abstract pending -- summary to be completed upon access]" and write the evaluation based on what can be assessed from the publication venue, author credentials, and title alone
- Do NOT construct a summary from the title alone -- the title "Community Resilience and Urban Planning" does not tell you whether the source is quantitative, qualitative, theoretical, a case study of one city, or a cross-national comparison
- Flag this limitation clearly and recommend the
literature-search or source-evaluation skill to help the learner access and assess the source first
The Assignment Specifies a Non-Standard Annotation Type
Some instructors use idiosyncratic annotation requirements -- "write a 3-sentence annotation with one sentence per criterion" or "include a fourth section on methodology."
- Treat the instructor's rubric as the authoritative format, regardless of standard annotation typology
- If the learner shares the assignment instructions, read them precisely -- instructors often specify things like "write in third person," "do not use first person," "include the source type," or "state where you will use this source in your paper" as distinct items
- Adapt the template structure to match -- if the instructor wants methodology as a separate section, separate it from the summary
- When requirements are ambiguous ("write a meaningful annotation"), default to the analytical type with all three components (summary + evaluation + relevance) as the most comprehensive option
The Bibliography Contains Primary Sources (Archival, Interview, Dataset)
Standard annotation frameworks are designed for secondary scholarly literature -- primary sources require adaptation.
- For archival documents (letters, government records, historical newspapers): the summary should describe the document's content, author/creator, date, and context of production; evaluation should address authenticity, provenance, and archival repository reputation; relevance should explain what the document evidences about the research question
- For datasets (census data, clinical trial data, survey datasets): the summary should describe the dataset's scope (variables, population, time period, collection method); evaluation should address sampling method, response rate, known biases, and whether the dataset has been validated or peer-reviewed; relevance should explain which variables the learner will use and why
- For interviews or oral histories the learner conducted themselves: the annotation format changes significantly -- summarize the interview subject's position and key insights, evaluate the representativeness and reliability of the source, and explain how it complements the secondary literature
- Never force primary source annotation into the journal article template without modification -- the result will be incoherent
The Learner Has Too Many Sources for Meaningful Annotation (20+)
A bibliography of 20+ sources annotated to full analytical depth represents substantial writing (5,000+ words minimum) -- scope management is essential.
- Ask whether all sources are confirmed for inclusion or whether the list is a preliminary pool from which the learner will select -- if the latter, suggest using the
source-evaluation skill to narrow the list before annotating
- If all sources must be annotated, suggest batching: do 5-7 per session, starting with the sources most central to the thesis argument
- For very large bibliographies, note that entries for highly similar sources (e.g., three studies on the same narrow question) can share evaluative language in their evaluation sections while keeping summaries distinct -- this is legitimate and efficient, not lazy
- Flag to the learner that longer bibliographies benefit from thematic organization (confirm with instructor first)
The Learner Is Using AI-Generated Annotation and Faces Academic Integrity Concerns
This is a real and increasingly common concern in academic contexts.
- The AI should produce high-quality annotation drafts that the learner then revises into their own voice -- present the output explicitly as a draft scaffold, not a final submission
- Encourage the learner to read every annotation aloud, revise any sentence that does not sound like their voice, and add specific reactions, connections, or insights from their reading that only they would know
- The relevance section is the most defensible section to write personally -- only the learner knows exactly how they plan to use each source in their argument; AI-drafted relevance sections are therefore the highest-risk component and should always be rewritten by the learner
- Recommend the learner check their institution's policy on AI assistance in annotations -- policies vary widely, and some institutions now have explicit annotated bibliography policies
The Learner Needs Annotations in a Non-English Citation Style or Language
Annotated bibliographies in non-English academic traditions (German, French, Chinese academic conventions, ISO standards) have distinct formatting requirements.
- If the learner is in a non-English-language program but writing annotations in English, the citation style (APA, Chicago, etc.) still governs formatting
- If the learner must write annotations in another language, confirm the language before drafting -- the structural logic (summary, evaluation, relevance) transfers across languages; only the language of expression changes
- For citation styles specific to regional academic traditions (e.g., German DIN 1505, French AFNOR norms), ask the learner to provide a style sample or example entry -- do not guess at unfamiliar national citation formats
The Evaluation Reveals the Source Is Weak or Inappropriate
Sometimes an honest evaluation makes clear the source should not be in the bibliography.
- Write an honest evaluation -- do not soften serious methodological problems to make the source sound better than it is
- In the relevance section, note the limitation explicitly: "Given the very small sample (N = 12) and lack of a control group, this source cannot provide strong empirical support for my argument; it is included here as background context and to acknowledge the existing qualitative work in this area"
- Recommend the learner flag this source to their instructor or consider replacing it -- and direct them to
literature-search if they need a stronger alternative
- A bibliography that includes weak sources without acknowledging their limitations is weaker than one that honestly contextualizes them
