DOCX creation, editing, and analysis
Overview
A .docx file is a ZIP archive containing XML files.
Brevyn Office Authoring Protocol
Use this protocol before choosing a lower-level DOCX technique.
Runtime gate
- In Brevyn, call
office_runtime with prepare=true before the first LibreOffice conversion or visual QA operation in a run.
- Use
selfTest=true when conversion previously failed or the runtime may be damaged, then retry the shared preflight.
- Do not ask the user to install LibreOffice while the bundled runtime reports
ready or available.
Route the task
- Read or answer from an existing DOCX: resolve the Brevyn file record, then read the complete parsed Markdown when available. Use structured source content for exact tables, comments, footnotes/endnotes, tracked changes, figures/captions, and layout-sensitive checks.
- Edit an existing DOCX: preserve the original document structure and make the smallest local change that satisfies the request. Do not restyle the whole document unless the user asks for a redesign.
- Create a new DOCX: choose a document archetype first (essay, report, memo, checklist, proposal, worksheet, handout, or formal assignment), then create a consistent style system before drafting.
- Convert or export: keep the requested output as the final deliverable; generated PDFs/PNGs are QA artifacts unless the user asks for them.
Source and cache policy
- Treat the DOCX source file as the factual authority.
- Brevyn parsed Markdown is the default readable source when available and current.
semanticUnitsPath and artifactPath are preferred for exact structured evidence.
- If the user challenges the parsed result or asks about layout, figures, comments, footnotes, tracked changes, or table geometry, inspect the source file or source-derived artifact rather than relying only on RAG chunks.
- Never claim to have read binary DOCX content when only filename metadata or a preview thumbnail was available.
Output and QA gate
Before delivering a created or edited DOCX:
- Save the final
.docx under the requested path or a clear outputs/ path.
- Validate structure when possible with the local OOXML validation workflow.
- Run the shared preflight when the environment is uncertain:

Use its structural inventory and rendered PDF/page previews for verification.
- For DOCX-specific visual debugging, optionally run:

- Fix obvious defects before delivery: clipped text, broken tables, missing headings, bad page breaks, overlapping figures, unreadable comments, or inconsistent list numbering.
- If rendering is unavailable, say that visual render QA was skipped and report the structural checks you did complete.
Final response should link only the final DOCX unless the user asks for QA intermediates.
Brevyn Workspace Reading Protocol
When the DOCX comes from a Brevyn course/task workspace, use Brevyn's parsed sources before falling back to manual binary extraction.
- Call
list_course_files or get_file_record to locate the file record.
- If parsed Markdown is available, call
read_parsed_file and read the complete file. Follow nextOffset until truncated=false unless the user asked for only a narrow excerpt.
- If the record reports
hasOfficeArtifact=true, use artifactPath and semanticUnitsPath to verify exact structured evidence.
- Use
semanticUnitsPath for exact anchors:
document_section for headings and section-level content.
table for Word tables; use table ranges/cells when reusing table data.
comment for reviewer/teacher/user comments.
footnote and endnote for notes.
image_caption for figure/table captions and reusable embedded images.
tracked_change for simplified inserted/deleted revision text.
- Check headings, paragraphs, tables, hyperlinks, comments, footnotes/endnotes, tracked changes, and embedded/reusable figures before saying the material is missing.
- Use LibreOffice/PDF preview only for visual layout checks; do not treat visual preview as the primary text source when structured parsed content exists.
If no Brevyn parsed artifact is available, continue with the normal DOCX workflow below: pandoc, unpacked OOXML, or LibreOffice conversion depending on the task.

Critical Rules for docx-js
- Set page size explicitly - docx-js defaults to A4; use US Letter (12240 x 15840 DXA) for US documents
- Landscape: pass portrait dimensions - docx-js swaps width/height internally; pass short edge as
width, long edge as height, and set orientation: PageOrientation.LANDSCAPE
- Never use
\n - use separate Paragraph elements
- Never use unicode bullets - use
LevelFormat.BULLET with numbering config
- PageBreak must be in Paragraph - standalone creates invalid XML
- ImageRun requires
type - always specify png/jpg/etc
- Always set table
width with DXA - never use WidthType.PERCENTAGE (breaks in Google Docs)
- Tables need dual widths -
columnWidths array AND cell width, both must match
- Table width = sum of columnWidths - for DXA, ensure they add up exactly
- Always add cell margins - use
margins: { top: 80, bottom: 80, left: 120, right: 120 } for readable padding

Editing Existing Documents
Follow all 3 steps in order.
Step 1: Unpack

Extracts XML, pretty-prints, merges adjacent runs, and converts smart quotes to XML entities (“ etc.) so they survive editing. Use --merge-runs false to skip run merging.
Step 2: Edit XML
Edit files in unpacked/word/. See XML Reference below for patterns.
Use "Claude" as the author for tracked changes and comments, unless the user explicitly requests use of a different name.
Use the Edit tool directly for string replacement. Do not write Python scripts. Scripts introduce unnecessary complexity. The Edit tool shows exactly what is being replaced.
CRITICAL: Use smart quotes for new content. When adding text with apostrophes or quotes, use XML entities to produce smart quotes:

Validates with auto-repair, condenses XML, and creates DOCX. Use --validate false to skip.
Auto-repair will fix:
durableId >= 0x7FFFFFFF (regenerates valid ID)
- Missing
xml:space="preserve" on <w:t> with whitespace
Auto-repair won't fix:
- Malformed XML, invalid element nesting, missing relationships, schema violations
Common Pitfalls
- Replace entire
<w:r> elements: When adding tracked changes, replace the whole <w:r>...</w:r> block with <w:del>...<w:ins>... as siblings. Don't inject tracked change tags inside a run.
- Preserve
<w:rPr> formatting: Copy the original run's <w:rPr> block into your tracked change runs to maintain bold, font size, etc.
