Procedure

1. Define the attendee journey from invitation and registration through arrival, participation, emergency, and follow-up.
2. Consult representative disabled people and qualified access specialists early.
3. Inventory barriers in transport, routes, rooms, seating, toilets, stages, acoustics, lighting, signage, food, and quiet space.
4. Plan captions, interpretation, assistive listening, accessible documents, media, microphones, remote access, and support.
5. Create a respectful accommodation request and fulfilment process with restricted data.
6. Include access needs in venue, supplier, speaker, staffing, rehearsal, safety, and communication plans.
7. Test physical routes, digital tools, content, emergency information, and alternative access with real equipment.
8. Publish accurate access information and keep an owned issue and recovery channel active.
