Create evidence that another person can understand after a loss. Inventory quality matters more than decorative organization.

When to use

• Use before emergencies, moves, policy reviews, estate work, or major purchases.
• Check insurer or local requirements directly; the inventory does not determine coverage or claim value.

Procedure

1. Define the purpose, locations, people with access, update cadence, and sensitive-data rules.
2. Create stable item or group IDs and record room, category, description, quantity, condition, and owner.
3. Capture wide room views plus focused photos or video for high-value, unusual, or serialized items.
4. Record serial numbers, model, purchase date, seller, receipt or appraisal locator, warranty, and value basis where available.
5. Distinguish owned, borrowed, leased, business, collectible, and digitally licensed property.
6. Link documents without placing unnecessary identity or payment data in the working inventory.
7. Reconcile major items against receipts, warranties, finance records, or prior lists.
8. Encrypt the inventory and keep at least one access-controlled copy outside the home or primary device.
9. Test retrieval with the person who would use it and schedule updates after purchases, disposal, moves, or renewals.

Failure plan

• Do not invent purchase price, condition, replacement value, or coverage.
• Redact full card, account, identity, and access numbers unless strictly required.
• If evidence is missing, mark the field unknown and add a follow-up.
• Do not rely on a cloud copy that requires a device or credential likely to be lost in the same event.
