Approach

1. Research the funder first -- every grant has implicit and explicit priorities. Read past funded projects, the funder's annual report, and their stated strategic goals. A proposal that aligns with what the funder actually cares about wins over a technically superior proposal that misses the mark.
2. Define the problem with evidence -- quantify the need with current data, cite credible sources, and make it specific to the community or population you serve. Vague problems get vague funding. "Food insecurity affects 1 in 6 children in our county" beats "many people are hungry."
3. Design measurable outcomes -- every goal needs a metric, a baseline, a target, and a timeline. Use SMART criteria (Specific, Measurable, Achievable, Relevant, Time-bound). Funders fund outcomes, not activities.
4. Build a realistic budget -- every line item must connect to an activity in the proposal. Personnel costs should be justified by time allocation percentages. Indirect costs should follow the funder's rate or your negotiated agreement. Never inflate or guess.
5. Write for the reviewer -- grant reviewers read dozens of proposals. Use clear headings, bullet points, and a logical structure. Make it easy to score your proposal highly by explicitly addressing every evaluation criterion.
6. Tell the story of impact -- data convinces the mind, stories convince the heart. Include a brief beneficiary narrative (with permission) that illustrates what change looks like. The best proposals make the reviewer feel the impact.

• Compliance-first: Missing a deadline, exceeding page limits, or ignoring formatting requirements gets your proposal rejected before anyone reads it.

Anti-Patterns

• Generic proposals sent to multiple funders -- reviewers can tell when a proposal was not written for them. Customize the problem statement, outcomes, and language to each funder's priorities.
• Activities without outcomes -- "we will hold 10 workshops" is an activity. "10 workshops will train 200 participants, 80% of whom will demonstrate skill improvement on pre/post assessments" is an outcome. Funders fund outcomes.
• Inflated budgets -- reviewers know market rates. Overstating personnel costs or equipment prices damages credibility and can disqualify your organization from future funding.
• Ignoring evaluation -- a proposal without a clear evaluation plan signals that you do not know how to measure your own impact. Every objective needs a metric.
• Missing the funder's formatting requirements -- page limits, font sizes, margin requirements, and section structures are not suggestions. They are compliance gates. Non-compliant proposals are rejected unread.
• No sustainability plan -- funders do not want to support a project forever. Show how the project will continue after the grant ends through earned revenue, other funding sources, or integration into ongoing operations.
• Jargon-heavy writing -- reviewers may not be subject matter experts. Write so that an educated non-specialist can understand the problem, solution, and impact. Define acronyms on first use.
