Why This Is Best Practice

Steps

1. Bring a visible medium for note-taking to the conversation. A physical notebook is the most visible and least distracting option; a phone or laptop can work but risks reading as divided attention rather than active engagement — choose the medium that reads clearest as "I am recording what you say" to the specific person you're talking with.

2. Write something down promptly when the other person says something substantive — before evaluating whether you find it useful, agree with it, or believe it. The signal comes from the visible act of writing, not from your private judgment of the content; delaying the note until you've decided the content is worth it defeats the purpose, because the delay itself is visible and reads as selective, conditional attention.

3. Make the act of writing visibly noticeable, without turning it into a distraction from the conversation. Glance down, write briefly, and return attention to the speaker — the goal is a clearly observable but brief act, not extended, conversation-interrupting transcription.

4. Apply this especially with less-practiced or lower-status speakers, not only with people whose input you already expect to be valuable. The people most sensitive to this signal — most likely to increase their disclosure in response to it, and most likely to shut down without it — are typically those with less established standing in the conversation (a junior colleague, a young person, a first-time source), precisely because they have the least confidence their words are worth anyone's attention by default.

5. Do not later use the fact that something wasn't written down as a signal of its unimportance. If the technique is applied selectively — visible notes for some statements, none for others — speakers learn to read the selective note-taking as real-time evaluation and begin self-censoring toward only the topics that visibly earned a note, undermining the open-ended disclosure the technique is meant to encourage.

Examples

Mentoring a junior colleague: A senior engineer meeting with a junior team member brings a notebook and visibly jots down points the junior colleague raises — including a tentative, unpolished idea the senior engineer privately isn't sure is workable. The junior colleague, seeing the idea written down, elaborates further and raises two additional ideas they'd been hesitant to mention, one of which turns out to be genuinely useful.

Source cultivation in journalism: A reporter meeting a new, inexperienced source for the first time takes visible notes on background details the source offers, even details the reporter doesn't expect to use in the eventual story. The source, observing their words being recorded, becomes noticeably more forthcoming over the course of the conversation, eventually sharing a specific detail central to the story.

Common Mistakes

• Only writing things down once you've privately judged them useful or correct. This produces visibly selective note-taking that speakers read as real-time evaluation, training them to self-censor toward only the topics that visibly earn a note.
• Using a laptop or phone in a way that reads as divided attention (checking messages, unclear what's being typed) rather than as a clearly visible act of recording the conversation. The technique depends on the note-taking being legible as attention to the speaker, not ambiguous multitasking.

When NOT to Use

• In contexts where visible note-taking would itself be intimidating or would signal formal evaluation rather than genuine interest (e.g., a performance review where notes might read as evidence-gathering against the speaker) — match the medium and visibility of note-taking to what will read as attentive interest rather than scrutiny in the specific relationship.
• When confidentiality or sensitivity concerns make any written record of the conversation inappropriate — the technique's value is conditional on note-taking being appropriate and safe for the content being discussed.
• In fast-moving group discussions where pausing to write would disrupt the conversational flow for everyone present, not just slow the exchange with one individual speaker.
