Steps

1. Regulate before engaging — address physiology first

Self-regulation first:

2. Acknowledge before problem-solving

Acknowledgment does not mean agreement:

• "I understand why you're angry about this" ≠ "You're right to be angry"
• "I can see this has been very frustrating" ≠ "The situation was handled poorly"

Acknowledgment language:

• Reflect the emotional experience: "It sounds like you feel [emotion] because [what happened]"
• Validate the experience: "That makes sense, given what you've been through"
• Acknowledge impact: "I understand this has had real consequences for you"

Why it works: the escalated person's primary need is often to feel heard; once that need is met, the physiological escalation reduces and the cognitive capacity for problem-solving increases.

3. Reframe from positions to interests (Getting to Yes)

Fisher and Ury's distinction between positions and interests is the central insight for resolving conflict:

• Position: what someone says they want ("I demand a full refund")
• Interest: the underlying need that motivates the position ("I feel taken advantage of and I want to be treated fairly")

The de-escalation question: "What would that [position] do for you?" or "Help me understand what's most important to you here"

When interests are visible, creative solutions that serve the interest without requiring the specific position become possible:

• Two sisters fighting over an orange: position = I want the orange / I want the orange; interest revealed = one wants the juice, one wants the peel; full orange to each

Move from positions to interests: "I hear that you want X. Help me understand what's most important about that for you. What would happen if you had X?"

4. Use the NVC framework for expressing your own perspective

Marshall Rosenberg's Nonviolent Communication provides a structure for expressing your perspective without triggering the other person's defensiveness:

1. Observation (not evaluation): describe the specific, observable behavior without judgment: "When the report was submitted two days late..." (not "When you were irresponsible...")
2. Feeling: express the emotion you experience: "I feel worried..." (not "I feel you don't care")
3. Need: identify the underlying need: "...because I need confidence that our deadlines are reliable"
4. Request: make a specific, positive, doable request: "Would you be willing to tell me when you know a deadline is at risk?"

The NVC structure converts blame statements ("you always do X") into need expressions ("I need Y"), which invite cooperation rather than defense.

5. Build collaborative resolution conditions

Resolution requires moving from adversarial to collaborative framing:

• Shared goal statement: "We both want [shared interest]. Let's figure out how to get there together."
• Brainstorm before evaluating: generate potential solutions without evaluating; premature evaluation shuts down idea generation
• Evaluate against interests, not positions: "Would this solution address what matters most to you? Does it address what matters most to me?"
• Incremental agreement: if full resolution is not possible, identify the smallest step that both parties can agree to; partial agreement builds momentum

Repair attempts (Gottman): in relationship conflicts, offering any form of connection that interrupts the escalation cycle ("can we take a break?", "I love you even though we're arguing right now", "I'm sorry I said that") — even clumsy repair attempts — reduces conflict escalation when accepted

Common Mistakes

• Problem-solving before acknowledgment: jumping to solutions before the other person feels understood reliably extends rather than shortens the conflict; acknowledgment unlocks problem-solving readiness.
• Arguing positions rather than exploring interests: "no, that's not acceptable" vs. "help me understand what you need from this solution" — the latter opens dialogue while the former escalates it.
• Attempting de-escalation while personally escalated: trying to calm someone else while in your own threat response produces incongruent communication (calm words, tense body) that the other person reads as condescending or manipulative.

When NOT to Use

• Physical safety threats: when physical safety is at immediate risk, de-escalation attempts may not be appropriate or effective; prioritize physical safety first; follow crisis intervention protocols appropriate to the context; professional crisis intervention training (CPI) applies in high-risk settings.
