Decision Tree
User request arrives
├── "schedule", "book", "set up meeting"? → WORKFLOW 1: Schedule Meeting
├── "free", "available", "when can"? → WORKFLOW 2: Find Free Time
├── "what's on", "agenda", "today's meetings"? → WORKFLOW 3: View Schedule
├── "reschedule", "move", "cancel"? → WORKFLOW 4: Manage Events
└── Unclear? → Ask: "Would you like to schedule a meeting, check availability, or view your calendar?"
WORKFLOW 1: Schedule Meeting
Tool sequence:
find_free_time(attendees: [...], duration: 30, range: "next_5_days") — find slots
- Present options to user (respect working hours + timezones)
create_event(title, start, end, attendees, description, location) — book it
MUST DO:
- ALWAYS check availability before creating events
- Include meeting purpose/agenda in description
- Respect working hours (9-17 in attendee's timezone)
- Add buffer time (5 min) between back-to-back meetings
- Confirm timezone with user if attendees span multiple zones
MUST NOT DO:
- Don't double-book (always check free/busy first)
- Don't schedule outside working hours without explicit consent
- Don't create events without a title and description
- Don't schedule meetings without at least 1 hour notice
WORKFLOW 2: Find Free Time
Tool sequence:
find_free_time(attendees, duration, date_range) — get available slots
- Present top 3 options with timezone context
WORKFLOW 3: View Schedule
Tool sequence:
list_events(calendar: "primary", start: "today", end: "today") — today's events
get_event(id) — details for specific event
WORKFLOW 4: Manage Events
Tool sequence:
get_event(id) — current details
update_event(id, ...) — reschedule or modify
- Or
delete_event(id) — cancel (notify attendees)

Troubleshooting
No available slots: Expand date range, reduce duration, or suggest async alternatives.
Timezone confusion: Always confirm: "That's 2 PM EST / 11 AM PST / 7 PM UTC. Correct?"
