When you receive notice
- Letter from FMCSA requesting specific documents
- Typically 30 days to respond
- Specific focus area (e.g., HOS, Vehicle Maintenance, Driver Qualification)

- Documents related to the focused area
- Driver records (specific drivers identified)
- Vehicle records (specific vehicles identified)
- Inspection history
- Citation responses (if any)
How to respond
- Inventory the requested documents
- Verify completeness for sampled items
- Compile organized response
- Submit via FMCSA portal or email
- Cooperate with follow-up questions
What FMCSA looks for in off-site
- Specific to the focus area (don't expect comprehensive review)
- Patterns in your data (consistent issues vs one-off)
- Improvements over time
- Carrier's understanding of regulations
