Calculate recipe cost per portion and food cost percentage for each menu item, compare against target cost percentage, and adjust pricing or recipe yield to maintain sustainable margins.
Why This Is Best Practice
Adopted by: The National Restaurant Association reports that the average full-service restaurant targets 28–35% food cost. All hospitality management programs (CIA, Johnson & Wales, Cornell Hotel School) require recipe costing as a core operations skill. Chain restaurant operations (McDonald's, Chipotle) reduce food cost percentages to 25–30% through standardized recipes and yield tracking.
Impact: A restaurant operating on 2–5% net profit margin cannot absorb a food cost that runs 5% above target — this directly eliminates profitability. Most restaurants that fail do so partly because menu pricing was set intuitively rather than from calculated food cost. Tracking actual vs. theoretical food cost also identifies waste, theft, and recipe deviation in the kitchen.
Steps
1. Establish the yield percentage for each ingredient
Raw ingredients lose weight during preparation:
- Yield % = usable weight / purchased weight × 100
Example: a 1 lb (454g) carrot after trimming and peeling yields 390g usable.
- Yield % = 390 / 454 × 100 = 85.9%

Never calculate recipe cost using purchase price directly — calculate cost per usable unit.
2. Calculate cost per usable unit
Cost per usable unit = cost per purchased unit / yield %
Example: carrots cost $1.50/lb purchased; yield is 85.9%
- Cost per usable lb = $1.50 / 0.859 = $1.75/lb
This is the number to use in recipe costing — not the purchase price.
3. List all recipe ingredients and calculate recipe cost
For each ingredient in the recipe:
- Record: ingredient name, recipe quantity used, cost per usable unit
- Calculate: quantity × cost per usable unit = line cost
Sum all line costs = total recipe cost (for the batch yield of the recipe).

4. Calculate food cost percentage
Food cost % = ingredient cost / selling price × 100
Example: recipe costs $2.91 per portion; menu price is $12.00
- Food cost % = $2.91 / $12.00 × 100 = 24.25%
Target food cost by segment:
- Fine dining: 25–35% (higher food quality offset by higher prices)
- Casual dining: 28–32%
- Fast casual: 25–30%
- Catering: 25–35%
- Bars (food): 25–30%
If calculated food cost % exceeds target:
- Adjust selling price upward, OR
- Reduce portion size, OR
- Substitute with lower-cost ingredient of similar quality, OR
- Accept reduced margin if the item drives traffic (loss leader)
5. Calculate selling price from target food cost
Selling price = ingredient cost / target food cost %
Example: recipe costs $3.50; target food cost is 30%
- Selling price = $3.50 / 0.30 = $11.67 → round to $11.75 or $12.00
This is the price floor for the target margin. Factor in:
- Competitive market price (is $12 reasonable for this item in this market?)
- Perceived value (premium positioning can sustain higher price)
- Popularity: high-cost items can be priced above formula if they generate significant traffic
6. Track actual vs theoretical food cost
Theoretical food cost = what the food cost should be based on standardized recipes and sales mix.
Actual food cost = what was actually spent on food in a period.
Actual food cost % = (opening inventory + purchases − closing inventory) / revenue × 100
If actual > theoretical by more than 1–2%:
- Kitchen waste (over-trimming, spoilage)
- Recipe deviation (over-portioning)
- Theft
- Receiving errors (short deliveries, wrong pricing)
Investigate when variance exceeds 2%.
Common Mistakes
- Using purchase price instead of yield-adjusted cost: Over-estimates the yield, under-estimates the real cost. Recipe costs calculated this way look profitable but lose money in practice.
- Excluding all ingredients: Small items (salt, oil, herbs, garnishes) appear negligible per portion but add up at scale. Either itemize them or add a 3–5% miscellaneous factor.
- Setting price once and never updating: Food costs are not static — commodity prices fluctuate. Recipe costs should be recalculated quarterly or when a major ingredient's price changes more than 10%.
When NOT to Use
- Home cooking cost estimation: yield percentages and cost-per-usable-unit calculations are necessary at commercial scale; for home cooking, approximation is sufficient and the formal framework is unnecessary overhead.
